NC - Works - Instructions for Creating Activity Codes
Follow these steps to create activity codes in NC Works for individuals referred to The HELP Center's SNAP Employment and Training (SNAP E&T) Program. Activity codes are essential data points recorded in the system to document the participant's involvement in work readiness and vocational activities. These codes reflect the commitment of both the organization and the participant to engage in the prescribed activities. However, the narrative within the case notes is of greater significance, as it provides a detailed account of the participant’s journey toward their vocational goals.
Log into NC Works:
Open the NC Works homepage.
Navigate to the Left Menu:
On the homepage, locate and click the left-side menu option.
Access the Assist an Individual Section:
From the left menu, select Services for Workforce Staff.
Then click on Manage Individuals
Click Assist an Individual.
Search for the Participant:
Enter the participant’s Social Security Number (SSN).
Click Search.
Select the Participant:
When the participant's name appears in the Individual List, locate the Programs tab under the Actions column and click it.
Access the SNAP Employment and Training Program:
Scroll down to the SNAP Employment and Training section.
Click the + icon to expand and open the program.
Navigate to the Activities/Enrollments/Services Section:
Scroll down to the Activities/Enrollments/Services tab.
Click the + icon to expand this section.
Create an Activity/Enrollment/Service:
Click Create Activity/Enrollment/Service.
Select Office Location:
In the Office Location dropdown, select SNAP - The HELP Center.
Select the Activity Code:
Next to Activity Code, click Select Activity Code. A window will open.
In the window, select the appropriate activity code based on the services being provided (refer to the specific list of activity codes for guidance).
S01 – E&T Orientation/Pre-Enrollment Activities
This code reflects participation in individual or group program information sessions for individuals referred to or inquiring about the program. Activities include providing an overview of the program and assessing whether participation is suitable for the individual.
Projected Begin Date: Date of enrollment
Actual Begin Date: Date of enrollment
Projected End Date: Date of enrollment
S02 – E&T Assessment:
S03 – E&T Case Management:
S05 – E&T Job Search Training (JST):
S10 – E&T Vocational Training (EPC):
Proceed to the Next Step:
Click Next.
Select the Provider:
Next to Provider, click Select Provider. A window will open.
Select The HELP Center from the list.
Select Service, Course, or Contract:
Next to Service, Course or Contract, click Select Service, Course or Contract. A window will open.
Select SNAP E&T Services from the list.
Complete the Activity/Enrollment:
Click Next.
If the open and close dates are the same, enter the Enrollment Date and select Successfully Completed from the Completion Code dropdown.
Click Finish.
For Open Codes:
If the activity code remains open, do not enter any dates.
Simply click Finish.
This process ensures that the appropriate activity codes are created and tracked for individuals referred to the SNAP E&T Program through The HELP Center.
